How far a proposal goes without approval (Auto, Confirm, Approve, Forbidden), when the level goes up or down, and how to save company guidance as text that shapes proposals.

How far a proposal goes on its own

Proposals placed by COMSEE AI and by automation rules move at the level set for each kind of action.

  • Auto: runs without waiting for approval. The run is recorded in the activity log and can be undone.
  • Confirm: placed in the inbox and runs when a person checks it and approves.
  • Approve: placed in the inbox and runs when a person approves. This level is for actions handled with more care, such as writing outside COMSEE or committing money.
  • Forbidden: never runs.

Rules that tighten the level

In these cases a proposal is handled at a stricter level than its kind's level:

  • Proposals that write to TikTok Shop or TikTok ads always need approval, so that rules or COMSEE AI never update TikTok unintentionally.
  • Actions that cannot be undone are never Auto.
  • Proposals made from a partner's documents (PDF, email) are at most Confirm.
  • Proposals over the amount or change limit, and proposals beyond the daily count limit, are tightened by one level.

Actions a person takes directly on a screen are that person's own actions and do not go through these levels.

Raising the level (promotion)

As approvals build up, what COMSEE AI may do on its own widens by one level. The level only goes up when an owner approves the promotion proposal that arrives in the inbox. It cannot be raised directly from the settings screen.

The nightly job places a promotion proposal when all of these are met:

  • The last 20 proposals of the kind were approved in a row (any rejection, expiry or undo restarts the count)
  • Fewer than 2 of them were edited before approval
  • The estimated amounts are within the limit
  • No proposal whose result has been closed missed its estimate
  • 30 days have passed since the last demotion

Only kinds that write inside COMSEE and can be undone can be promoted. Actions that write to TikTok or email, and actions that cannot be undone, are never promoted.

Lowering the level (demotion)

COMSEE AI tightens the level by one on the spot when any of these happens:

  • 3 rejections in a row for the same kind
  • 2 undos for the same kind in the last 30 days
  • 3 or more missed estimates among the last 10 closed results for the same kind

The demotion is recorded as one line in the activity log.

Checking the current level

"What COMSEE AI can do on its own" under "Automation" in organization settings shows, for each kind of action, the following. If no kind can be promoted, the section is not shown.

  • The current level and the lowest level it can go to
  • The recent run of approvals in a row and how many were edited
  • What remains before promotion (or, when the conditions are met, that a proposal will be placed by the next nightly job)
  • Demotion history (the last 5)

Company guidance

Save your organization's tendencies as text (conservative ordering, avoiding certain suppliers, words not to say on streams, and so on) so they shape COMSEE AI's proposals. Saved guidance is read each time a proposal is made and quoted in the proposal's "why" (basis).

  • Add, edit and retire guidance under "Company guidance" in "Automation" in organization settings. Only owners can do this.
  • Scope: the whole organization, a partner, a product, or a kind of action. The scope cannot be changed after saving. To change it, create a new one and retire the old one.
  • Effect: "Reference" is only quoted as basis and does not change the decision. "Needs review" always sends proposals in that scope to Needs review. "Block" makes proposals in that scope Not recommended.
  • Text: quoted as the basis of proposals. Do not write personal information.
  • Retiring: retired guidance is no longer quoted in new proposals. Proposals that already quoted it keep their basis. Retired guidance is not deleted and stays in the list.
